UPDATED MONDAY, MARCH 3, 5 P.M. -- University Officials Working to Resolve Payroll Glitch

Published: Mar 3, 2014

UPDATED, MONDAY, MARCH 3, 5 P.M.

Here's the latest information regarding the payroll issue:

Status of Posting

As of Monday afternoon, about 85 percent of employee pay had been posted by banks and financial institutions. We believe that 100 percent of payments will be posted by this evening. We appreciate your patience throughout this process as we've worked diligently with banks and financial institutions to rectify this situation.

Call Center and assistance on Tuesday
Our call center number -- 257-9254 -- will be operational again on Tuesday, regardless of weather conditions, should you have questions or need assistance. As of 3 p.m. Monday, more than 600 calls had been handled by the call center. Again, we appreciate your willingness to work with us as we attempt to resolve the issues that have arisen since Friday.

Overdrafts and related late fees

Although we’ve been notified that some financial institutions will waive the fees associated with the payroll delay, not all financial institutions will do so.

Please be assured that the University of Kentucky will reimburse employees for any overdraft, non-sufficient funds, and late fees incurred. We began processing reimbursement requests today and will continue that process throughout the week.

Please complete the form at the following link and submit according to the directions on the form. Click here.

You may also obtain the form and assistance in completing the form by contacting any of the following offices:

UK Accounts Payable 257-5440
UKHC Payroll Office 323-5721

Impact on credit score

Finally, if there are concerns or questions that arise about employee credit scores, you can print out and present the PNC Bank error letter at this link. Click here.

Remember, the University is reimbursing you for those fees with appropriate documentation.

Companies may waive any late payment or unpaid/return check fees assessed. If not, the University of Kentucky will reimburse employees for any such fees assessed. In most instances, a payment will not be reported to a credit-reporting agency unless it is unpaid for more than 30 days.

Thanks again for your patience and commitment to our institution during this time. We apologize for any inconveniences or issues that have resulted.

We wanted to provide an update today with the latest information regarding the issue with payroll (please also continue to check www.uky.edu for the latest information):

Current Status

By noon today, we anticipate that nearly 70 percent of those impacted will have had their pay posted with their financial institutions. We still anticipate that everyone’s pay should be posted by Monday evening at the latest.

Call and Distribution Centers

We anticipate opening the payroll call center again on Monday. Pending any issues with weather, we plan to have the call center open from 7 a.m. to 7 p.m. Monday, March 3. Please pay attention to communications from the university over the weekend as plans could change, pending weather conditions. Snow and ice currently is predicted for Sunday and Monday.

The number for the call center is 859-257-9254.

Weather permitting we will continue to operate pre-paid card distribution centers on campus on Monday from 7 a.m. to 7 p.m. to help handle emergency assistance needs. The call center will direct you to the appropriate location. Please have your UK ID or photo ID available.

Other issues

UK will ensure that any overdrafts, non-sufficient charges and late fees will be covered.

We are working over the weekend to finalize the process for how the university will manage specific issues or concerns that may arise because of this issue. We will announce details on Monday and communicate them fully with the campus.

In addition, both PNC and Kentucky Bank branches will cash a personal check for up to $200. At this link --http://uknow.uky.edu/sites/default/files/pnc_location_hours.pdf -- you can look at PNC locations and their hours of operation for cashing personal checks. Kentucky Bank locations and hours can be viewed at: http://www.kybank.com/about-us/locations-and-hours.aspx.

Thanks again for your patience as we work through these issues. We regret any inconvenience these issues have posed. Please know we are working quickly to resolve any problems associated with this event. We will be back in touch with you with further communication throughout the weekend.

The latest information

Throughout the day, UK has been in contact with many of the more than 860 financial institutions, banks and credit unions that serve you throughout the Commonwealth. Many of them have assured us that your payroll has been posted today; many others will be posted over the weekend. We anticipate that all those impacted should be able to access their payroll by Monday evening.

  • We know that this issue poses a significant hardship for UK staff and student employees and we regret that it has occurred. The university will ensure that overdrafts, non-sufficient fund charges, and late fees will be covered.

·  PNC Bank has agreed to let UK staff and student employees impacted by this issue cash a personal check of up to $200. Please show your UK ID and photo ID at PNC locations throughout the state.

·  At this link -- http://uknow.uky.edu/sites/default/files/pnc_location_hours.pdf -- you can look at PNC locations and their hours of operation for cashing personal checks.

What happened

By way of background, PNC Bank had an error on its end with posting the payroll files early this morning. PNC handles the posting of payroll for the university. Some additional background from PNC can be read at this story:http://www.kentucky.com/2014/02/28/3113239/uk-employees-not-paid-banking.html. Our partners at PNC have expressed their sincere apologies for the hardships created for our affected student and staff employees. We have worked closely with PNC and other financial institutions throughout the day to quickly reconcile these issues.

We apologize for any inconvenience or hardships caused by these issues. We will continue working with you, our valued staff and student employees, to work through problems resulting from today's payroll issue.

Thank you for your patience and continued commitment to the university. Again, we are sorry for what has occurred.

UPDATED 12:45 P.M.

LEXINGTON, Ky. (Feb. 28, 2014) - The University started receiving reports from concerned employees about 6 a.m. this morning  that the scheduled posting of bi-weekly paychecks had not occurred.

We are in communications with banks and financial institutions that serve our staff and student employees to ensure that the posting takes place as quickly as possible.

More than 16,000 employees have potentially been impacted. UK employees bank with more than 860 banks, credit unions and financial institutions across the state.

We are working with individual banking institutions to ensure the posting of scheduled payments occurs as quickly as possible. For some UK employees, scheduled posting of their payment will occur by 4 p.m. this afternoon. For some employees, however, scheduled posting may not occur until Monday night.

We know that this issue poses a significant hardship for UK staff and student employees and we regret that it has occurred. The university will ensure that overdrafts, non-sufficient fund charges, and late fees will be covered.

For employees who need immediate financial assistance for this weekend, the university is establishing a call center and is in the process of printing pre-paid debit cards to address concerns and answer questions.

As soon as that information is available, we will communicate further details throughout the day. You can receive continual updates at www.uky.edu, where a special blog has been established to provide ongoing information about this issue.
